Privacy Policy

Overview

E-Z Cloud ("we", "us") provides EzRespond, an application that sends automatic replies to email on your behalf according to schedules and templates you configure. This policy explains what information the service collects, how it is used, how long it is kept, and how to delete it.

Google user data and the Limited Use requirements

EzRespond's use of information received from Google APIs adheres to theGoogle API Services User Data Policy, including theLimited Use requirements.

Gmail access

EzRespond requests a single restricted Gmail scope:

https://www.googleapis.com/auth/gmail.modify

This scope allows the application to read messages, apply labels, and send replies. It does not permit permanent deletion of your mail. We request this scope because the product must read an incoming message to decide whether an automatic reply applies, send that reply, and label the thread so it is not answered twice. No narrower combination of Gmail scopes covers those three actions.

What we do with that access

• Read incoming messages to evaluate them against your configured rules
• Send replies drawn from templates you have written
• Label threads that have been answered

What we do not do

• We do not sell or transfer your Gmail data to third parties
• We do not use your Gmail data for advertising of any kind, including retargeting and personalized or interest-based advertising
• We do not use your Gmail data to determine credit-worthiness or for lending
• We do not use your Gmail data to train generalized artificial intelligence or machine learning models
• We do not send your email content to any third-party AI or language-model service

What we store

We do not store the body of your emails. We do keep a record of each message we replied to, so that the service does not answer the same thread twice and so you can see what it sent:

• the subject line of the message
• the sender and recipient addresses of the reply
• Gmail's thread and message identifiers
• the time the reply was sent, and whether the thread was resolved

We access only the data needed to produce an automatic reply, and we do not retain message bodies.

Human access

Our staff do not read your email. If resolving a support issue ever required someone to view a specific message, we would ask for your explicit agreement to view that specific message first.

Revoking access

You can revoke EzRespond's access to your Google account at any time, either from within the application or from your Google Account permissions page atmyaccount.google.com/permissions. Revoking access stops all further processing immediately.

Other information we collect

• Account information — your email address and first and last name, obtained from your Google profile when you sign in
• Service configuration — your reply templates, office hours, holiday schedules, and, if you use the Jewish-holiday feature, your country and either a US zip code or an Israeli city
• Uploaded content — images and files you add to reply templates
• Log data — when an error occurs, we record diagnostic information such as IP address, device and operating-system details, the app configuration in use, and the time of the error

Service providers

We use the following third parties to operate the service. Each receives only what it needs for its function:

The in-app support chat sends your typed messages and your own configuration (office hours, holidays, holiday-calendar location) to OpenRouter in order to answer questions about your setup.It does not send any Gmail message content.

These providers are obliged to keep the information confidential and may not use it for any purpose other than delivering their service to us.

Data retention and deletion

We keep your data only as long as needed to provide the service.

• Delete your account at any time from within the application, which removes your account and associated data
• Disconnecting your Google account stops all Gmail access immediately
• All associated Gmail data is deleted within 30 days of account deletion or disconnection
• To request immediate deletion, contact support@ezcloudllc.com

Security

We use commercially reasonable measures to protect your information, including encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Cookies and analytics

The application uses session cookies to keep you signed in. It does not use cookies to track you across other sites.

This website uses Google Analytics to measure traffic and understand which pages visitors find useful. Google Analytics sets its own cookies and receives your IP address and browsing activity on this site. It is not used inside the application, and it never receives Gmail data. You can opt out using theGoogle Analytics opt-out add-on.

Third-party libraries we rely on may set their own cookies.

Links to other sites

The service may link to sites we do not operate. We are not responsible for their content or privacy practices, and we encourage you to read their policies.

Children's privacy

The service is not directed to anyone under 13, and we do not knowingly collect personal information from children under 13. If we learn that we have, we delete it. If you believe a child has provided us with personal information, contact us.

Changes to this policy

We may update this policy. Changes are posted on this page and take effect when posted. We encourage you to review it periodically.
